Office 365 Compliance Retention Policies for Law Firms

from Legal Computer Consultants, Technology Services for the legal profession. My name is Joe Chmielarz. Today we are going to discuss Compliance Retention
Polices in Office 365. For many law firms the volume and complexity
of their data is increasing daily. Email, documents and instant messages and
more. Consecutively managing this information is
important because you need, for instance, proactively comply with industry regulations
and internal policies. For example Sarbanes Oxley, Finra or some
other regulations that require you to retain data for a certain period. Start by going to the Office 365 Admin Center. Click on Admin, click on show all, go down
to security and compliance. Click on Data Governance. Scroll down to retention. Click on create to create a new policy. Enter the name of the policy. Give it a descriptive name because you may
choose to create more than one policy. You can also enter a more detailed description
in the field below. Today we are going to create a 7 year retention
policy. Click Next. Here you are going to have several options
that are going to be the core of this retention policy. First thing is yes you want to retain it for
this long, or retain it forever, but today we are going to set a 7 year policy. And we are going to change it to when it was
last modified. Giving us that extra time in that period. And then you have to define whether you want
to actually delete the data afterwards otherwise it will retain it but the user can then delete
it. Click on next. Today we are going to work with a retention
policy for Exchange only so we are going to turn off the other 365 components. We are going to include Exchange Public folders. Click next to create the policy. Next after you create the policy to place
it in preservation lock to comply with some regulation so administrators themselves cannot
stop the policy. Click on Preservation Lock. Thank you for watching instructional videos
